Thank you for your interest in participating in the Canadian School Boards Association (CSBA) Trustee Gathering on Education, Innovation and Reconciliation (TGEIR). Before you proceed to register or purchase tickets, we strongly recommend you review the policies, terms and conditions below. 
 
By opting to register and/or purchase, allocate or possess tickets to this event, you automatically agree to our terms of use.  
 
Please note that the British Columbia School Trustees Association (BCSTA) reserves the right to make changes, revisions, and amendments, or add/remove sections from this set of terms and conditions - without any prior notifications to you. Such changes will be duly reflected below, in the event policies.

Registration is limited to school trustees, senior school district leaders, Indigenous rights holders and knowledge keepers within Canada, and members of national and US partner associations.

 

Conference Registration Fee

  • $1200.00 CAD + credit card convenience fee (3%)+ tax (5% GST) per person. 
    • Included in registration: professional development program & meals as follows:
      • Monday – Breakfast, Lunch & SLCC Dinner
      • Tuesday – Breakfast, Lunch
      • Wednesday – Breakfast
    • Not included in registration: transportation to/from Whistler.  Transportation planning links are included in the conference registration confirmation.
  • Fee is payable by VISA or Mastercard card at the time of registration.
    • Statement charges will show up as:  BC SCHOOLTRUSTEESASSOC

 

Conference Cancellation Policy

  1. A registrant may cancel the registration and receive a refund, less a $150.00 cancellation fee and credit card convenience fees paid, if the cancellation is processed through the registration system on or before registration closing on June 2, 2026.
  2. No refunds will be provided after June 2, 2026, but substitutions will be permitted by contacting support@bcsta.zohodesk.com.
  3. Any cancellation received after June 2, 2026 will not be refunded.
  4. No-shows will not be refunded.
  5. In the event BCSTA must cancel the event, BCSTA will refund the conference registration fee, less any credit card convenience fees paid, but will not be responsible for any indirect, special, or consequential damages (including transportation, lodging, and meal costs) sustained by the registrant.

 

Hotel Rates & Fees

  • Accommodation is available at The Fairmont Chateau Whistler, requested through the conference registration system. Do not contact the hotel directly. 
  • All rates are in Canadian dollars (CAD) and net of taxes and fees.
  • Hotel room rates are as listed below and payable directly to the hotel.  There are a limited number of rooms in each category and room assignments (Fairmont or Deluxe) are based on the delegates registration date and at the hotel’s discretion.  Maximum occupancy is 4 persons per room. 
    • Fairmont Room: $319.00 per night, single/double occupancy + $50.00 per night for each additional adult (18+)
    • Deluxe Room: $359.00 per night, single/double occupancy+ $50.00 per night for each additional adult (18+)
  • Group rates will be extended Two (2) days PRE and Three (3) days POST program dates, subject to availability.  Requests for accommodation dates outside the block availability will be communicated to the hotel on an ongoing basis and registraints will be notified if dates/rates are not available.
  • The following additional mandatory fees (net of taxes) apply and are not included in the room rates:
    • Resort Experience Fee: $35.00 per room, per night 
    • Daily Housekeeping Charge: $5.00 per room, per night
  • Parking is available for registered guests at the nightly rate of $39.00 per vehicle for self-parking and $48.00 for valet.
  • A mandatory porterage fee of $7.00 per person applies on arrival and departure days for guests traveling on a chartered vehicle carrying eight (8) passengers or more.
  • The hotel is a non-smoking property. A minimum surcharge of $500.00 CAD will be applied if there is evidence that there has been smoking in a guestroom or suite.
  • Photo ID and a credit card will be required at hotel check-in to guarantee incidental charges.  Should other arrangements be required, contact the hotel directly once the hotel confirmation has been received.

Hotel Cancellation Policy

  • Individual reservations may be cancelled up to and including June 4, 2026.
  • Any reservation cancellations made after this date, as well as no-shows and early departures, will be charged 100% of the applicable room and tax charges. Any non-refundable reservation deposits taken will be retained by the hotel.
  • All hotel charges, fees, taxes, and policies are subject to change and are the responsibility of the guest.
  • Name substitutions are permitted up to arrival day, however, a shortened stay within the 30 days of arrival will result in cancellation charges.

 

Consent to Photography and Recording

By registering and participating in this event, every registrant consents to the recording of registrant’s likeness, image, and/or voice in any non-private space and authorizes BCSTA and/or CSBA to use photographs, video, and audio recordings containing the registrant’s likeness, image, and/or voice in any medium for any BCSTA and/or CSBA purposes.

No taping or recording is allowed other than by BCSTA and/or CSBA and their designees. BCSTA and/or CSBA and their designees record, photograph, and/or stream various aspects of this event for archival and promotional purposes only. 

Under contracts signed with presenters appearing before the Canadian School Boards Association Trustee Gathering on Education, Innovation and Reconciliation, absolutely no recording is authorized or permitted.
