Thank you for your interest in attending the BCSTA AGM 2026. Before you proceed to register or purchase tickets, we strongly recommend you review the policies, terms and conditions below. 
 
By opting to register and/or purchase, allocate or possess tickets to this event, you automatically agree to our terms of use.  
 
Please note that the British Columbia School Trustees Association (BCSTA) reserves the right to make changes, revisions, and amendments, or add/remove sections from this set of terms and conditions - without any prior notifications to you. Such changes will be duly reflected below, in the event policies.

Conference Registration Fee

  • AGM Registration fee: $625.00 + 5% GST
  • Pre-Conference: $150.00 + 5% GST
  • Billing:  Advance payment is not required. BCSTA will send an invoice post-event.
    • Included in registration: professional development program & meals as follows:

      Friday – Breakfast and Lunch
      Saturday – Breakfast and Lunch

Conference Cancellation Policy

If you need to cancel a conference registration the following policy will apply per delegate:

  1. If cancellations are made on or before March 9, 2026, delegates will be eligible for a full refund.
  2. If cancellations are made after March 9, 2026, delegates are subject to a $100.00 administrative fee.
  3. If cancellations are made after March 28, 2026, delegates are not eligible for a refund.

Hotel Rates & Fees

  • Accommodation is available at the Hyatt Regency Vancouver, requested through the conference registration system.
  • Hotel room rates are as listed below and payable directly to the hotel.  Maximum occupancy is 4 persons per room. 
    • Room: $279.00 per night, single/double occupancy + $35.00 per night for each additional adult (18+) + taxes and fees.
  • Group rates will be extended three (3) days PRE/POST program dates, subject to availability.  Requests for accommodation dates outside the block availability will be communicated to the hotel on an ongoing basis and registrants will be notified if dates/rates are not available.
  • Parking is available for registered guests at the nightly rate of $46.05 inclusive per vehicle for self-parking and $79.00 inclusive for valet.  Valet attendants are available 7:00a – 12:00p.
  • Photo ID and a credit card will be required at hotel check-in to guarantee incidental charges.  Should other arrangements be required, contact the hotel directly once the hotel confirmation has been received.
  • The hotel complies with the Hyatt Global Privacy Policy, which is available here.
  • Hyatt’s Global Care and Cleanliness Commitment is available here.

Hotel Cancellation Policy

  • Individual reservations may be cancelled up to 48 hours prior to arrival (4:00pm on check-in day).
  • Any reservation cancellations made after this date, as well as no-shows and early departures, will be charged 100% of the applicable room and tax charges.
  • All hotel charges, fees, taxes, and policies are subject to change and are the responsibility of the guest.

General

  1. Attendees should not attend if they are feeling unwell.
  2. Some delegates are sensitive to scented products. Please abstain from using scented products and perfumes while attending this event.
  3. Photos will be taken at this event. These photos may be used for BCSTA Flickr stream, publications and promotional materials.
  4. BCSTA will send an invoice post-event.
